4. Access and correction
You have the right to request access to, and correction of, your personal data held by us (sections 18 and 22 of the PDPO). See "Your rights" below for how to make a request.
Personal data we collect
- Candidates: name, contact details (email, phone, WhatsApp), CV and anything it contains, employment history, qualifications, skills, notice period, current and expected remuneration, LinkedIn profile, right-to-work status, interview notes and references.
- Employers and business contacts: name, job title, company, contact details, and information about the roles you are recruiting for.
- Website visitors: technical data such as IP address, browser type and pages visited, collected through server logs for security and to keep the site running.
Please do not send us sensitive information we have not asked for, such as your Hong Kong Identity Card number, health information or religious beliefs. If you provide personal data about another person, such as a referee, please make sure they are aware and agree.
Direct marketing
We will not use your personal data in direct marketing, or provide it to others for use in direct marketing, unless we have first obtained your consent as required by Part 6A of the PDPO. If you have given consent, you may withdraw it at any time, free of charge, by emailing biswas.gurung@k4econsultancy.com.
Retention
We keep personal data only for as long as necessary to fulfil the purposes for which it was collected (Data Protection Principle 2 and section 26 of the PDPO), including any period we are required to keep records by law.
- Candidate records are normally kept for up to 24 months after our last contact with you, so we can consider you for future roles. You may ask us to delete them sooner.
- Records relating to placements and to our obligations as a licensed employment agency are kept for the period required by law.
- Business contact information is kept for as long as our business relationship continues and for a reasonable period afterwards.
When data is no longer needed, we delete it securely.
Security
We take all practicable steps to protect personal data against unauthorised or accidental access, processing, erasure, loss or use (Data Protection Principle 4). These include encrypted connections (HTTPS), access controls limiting CVs and applications to authorised K4E staff, and contractual obligations on our service providers. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.
Transfers outside Hong Kong
Some of our service providers store or process data outside Hong Kong; for example, our website database is hosted in Singapore. Where personal data is transferred outside Hong Kong, we take reasonable steps to ensure it is protected to a standard comparable to the PDPO, including through contractual safeguards.
Cookies
This website uses only strictly necessary cookies: one to remember the language you choose, and one to keep authorised staff signed in to our administration area. We do not use advertising or tracking cookies. If this changes, we will update this policy and, where required, ask for your consent.

- ask whether we hold personal data about you and request a copy (a data access request);
